AI lead capture, explained.
Most websites lose the lead in the gap: the visitor has a question at 9pm, the contact form promises a reply 'soon,' and by morning they've booked with whoever answered first. AI lead capture closes that gap. Here's how it actually works — and where it goes wrong.
What it is (and isn't)
AI lead capture is a site assistant that answers a visitor's real questions in your business's voice, qualifies them with a couple of natural questions, and converts the conversation into a contact you can follow up with — around the clock. Try the one on this site: the chat in the corner is the same product we build for clients.
It is not the chatbots you remember — decision trees that trap people in "Please select an option" loops. Those made everyone hate chat widgets. A modern assistant holds a real conversation, admits what it doesn't know, and hands off to a human at exactly the right moment.
The four jobs of a capture assistant
- Answer. Hours, pricing shape, insurance, service area, "do you handle X" — the questions that decide whether a visitor stays. Answered instantly, from facts you approve, not invented.
- Qualify. One or two conversational questions — what they need, roughly when — so you spend your callbacks on real prospects, not tire-kickers.
- Capture. Name and contact details taken in the flow of conversation, written straight into your customer record — no form, no copy-paste, no lead left in a chat log nobody reads.
- Hand off. Booked call, scheduled visit, or a promise of a human reply with a real deadline — and automated follow-up by email or text so the lead never goes cold in the gap.
What to automate — and what to keep human
Automate the first five minutes: factual answers, qualification, capture, scheduling, and the follow-up nudge. That's where speed wins and nobody expects a human at 9pm anyway.
Keep human everything with judgment or stakes: pricing exceptions, complaints, clinical or legal specifics, and any conversation where the visitor is upset. A good assistant recognizes those and hands off gracefully instead of improvising.
The four failure modes we see
- The interrogation. Six form-style questions before it says anything useful. Answer first, ask second.
- The essay. Three paragraphs per reply. A front desk speaks in sentences, not brochures.
- The dead end. The chat "captures" the lead into a log nobody checks. If it doesn't write to your CRM and trigger follow-up, it's decoration.
- The impostor. Pretending to be human. Visitors don't mind talking to an AI — they mind being deceived. Label it, and let it be excellent.
What good looks like in numbers
You don't need a dashboard of vanity metrics. Watch three things: how many conversations become contacts, how many contacts book, and how fast follow-up goes out. If the assistant answers instantly, captures cleanly, and follow-up fires within minutes, it will out-convert a contact form every week of the year — the form can't answer questions, and the questions are where the sale happens.
How we ship it
Every site we build includes AI lead capture wired in from day one — assistant, capture, and automated follow-up connected to one customer record, in your voice, on a fact sheet you approve before launch. It's included in the fixed price, not an upsell. The chat in the corner of this page is the live demo.
